Project Administrator

Full time, salary

The Project Administrator provides administrative, organization and communication support to the 3 key areas of the company: Project Development/Estimating, Interior Design and Construction.

A perfect candidate for this position will have a passion for keeping things organized. They should be detail oriented with a strength for systematically tracking important administrative details of design build custom home projects. This person should also have a strong interest in custom home building.

Before construction, during the design phase, you will assist with preparing and organizing project documentation, organization of bids, preparation and collection of client sign offs, and coordination of client meetings. You will help facilitate administrative aspects of getting a project ready for construction such as: setting up utility accounts, filling out permit applications, preparing documentation to submit for permit review, etc.

During construction, you will assist the Project Manager and Superintendent with purchase orders, change orders and ensuring that project documentation is available in Buildertrend.

On the interior design side, you will assist with scheduling client meetings and selection sign offs. You will also help with project ordering, tracking and taking inventory of deliveries, and then coordinating with the team in the field to make sure the correct items are taken to each job site.

Key Responsibilities:

  • Pre-Construction
    • Apply for permits (building, septic, well)
    • Set up utilities (set up gas, water, electric accounts, coordinate transfers)
    • Schedule groundbreakings (order renderings, schedule dates and bring materials to site ahead of time)
    • Assist with initial schedule phases with Project Manager and Superintendent
    • Input project information (budget, schedule, etc.) into Buildertrend for team and trades to reference
  • Project Development Team Support
    • Assist with gathering and submission of ACC/HOA applications
    • Prepare Project Development Agreements & send for signatures
    • Prepare Construction Agreements & send for signatures
  • Construction Team Support
    • Issue and track purchase orders
    • Assist with change orders as directed
    • Assist with schedule confirmations, notes & shifts as directed
    • Assist with bid revisions & estimates as directed
    • Print, email, save plans, documents, detail drawings, etc. as directed
    • Save inspections, engineer reports & letters to file and submit to building
      departments as required
    • Schedule walks (electrical, plumbing, trim, super, cabinet box layout)
  • Interior Design Team Support
    • Assist with queuing and selection sign offs
    • Assist with coordination of design presentations (schedule, lunch, meeting notes)
    • Assist with retail orders, receive orders and coordinate deliveries to job sites
  • Office Tasks
    • Keep items stocked in office
    • Assist with coordination and support for client & team meetings
    • Assist or coordinate cleaning and upkeep tasks as required
  • Subcontractor & Vendor Relationships
    • Set up, request and paperwork for subs/vendors (W-9s, COI’s, agreements)
    • Maintain or direct questions or concerns as applicable
    • Facilitate and track back charges
  • Buildertrend
    • Set up new clients, projects and staff
    • Assist with streamlining, processes and requests as directed

Required Experience:

  • Some experience in the construction or design industry preferred
  • Administrative experience in a similar position

Pay and Benefits

  • 55k-62k depending on experience
  • Voluntary participation in company Health Sharing Plan – company pays 100% of employees’ portion. Eligible after 90 days of employment
  • Reimbursement of relevant Continuing Education Expenses
  • 3 weeks PTO per year, 8 paid company holidays, per company policy

Interior Design Assistant

Full time, salary

The Interior Design Assistant performs a number of administrative, clerical, and creative duties under the supervision of a lead designer. This person will communicate with the client to arrange meetings and consultations with the designer, collect photographs and inspiration in preparation for design meetings, and provide the client and the designer with samples, mock-ups, and reports on budgets. The Design Assistant also provides administrative support to the lead designer with tasks such as creating CAD drawings, ordering fixtures and materials, preparing sign offs, doing material take offs, order tracking, helping prepare design presentations, attending field layouts, coordinating pricing and field layouts with trades and vendors, etc. This person must have experience with AutoCad and the ability to learn new softwares such as online project management software and design presentation software. Responsibilities:
  • Create CAD detail drawings with the direction of the lead designer
  • Place orders for materials and fixtures
  • Track and receive material and fixture orders
  • Assist in organization of Design Studio
  • Prepare selection sign offs for clients
Required Experience:
  • Experience in interior design
  • CAD/ drafting experience
  • Interior design education

Superintendent

The Superintendent position at Gowler Homes is an exciting and fulfilling role for the experienced construction professional who values the craft of quality luxury home building. He or she has the privilege and responsibility of being the person that will oversee our client’s dream homes coming to life after months of meticulous planning!

As an integral member of the Gowler Homes team, the Superintendent will work alongside the Director of Construction and design team to execute the carefully crafted plans that the team has prepared for the client.

This person must be detail oriented, organized, have an eye for quality and an excellent ability to communicate effectively in written and verbal formats.

As the ‘boots on the ground’ the Superintendent is responsible to ensure that everything in the field is being performed in adherence with industry best practices, but also in accordance at all times with The Gowler Way.

As a leader in the marketplace and representative of Gowler Homes in the field, this person must display professionalism in dress, appearance and communication at all times and must work to cultivate and maintain quality, respectful relationships with our vendors, trade partners, clients and team members while delivering high quality projects to our clients. The Superintendent is responsible to coordinate and supervise all construction and field related activities for 7-10 custom home projects per year.
